Stop guessing at flat rates. AI sorts a year of invoices into tasks, then you set prices from your real costs.

The short answerExport 6 to 12 months of invoices to a spreadsheet, remove customer details, and have an AI tool group the line items into standard tasks and show what you actually charged and how much it varied. Then set each flat-rate price yourself from your real labor and material costs and target margin. AI helps organize your history. It can't know your costs, so the final prices are yours to set.

You'll need: Invoice export (CSV/Excel) from your field service or accounting software, your loaded labor rate, and material costs

Step 1: Export and clean your invoice data

Export line items with date, description, quantity, price, and job type. In the spreadsheet, delete all customer-identifying columns before uploading anywhere.

Step 2: Have AI group line items into tasks

Upload the cleaned file to an AI tool that can analyze spreadsheets, then prompt:

This is 12 months of anonymized invoice line items for a [trade] company.
1) Group similar line items into standard tasks (e.g., "Replace capacitor", "Install 50-gal gas water heater"). Show your grouping rules.
2) For each task: number of times billed, min/median/max price charged.
3) Flag inconsistent pricing (wide spread) and items that don't fit any group.
Output a table I can download as CSV. Don't suggest prices. Only report what's in the data.

Step 3: Review the task list

Check the groupings, since AI will merge things that shouldn’t be merged. Fix the names to match how your techs talk about the work.

Step 4: Calculate your price per task

For each task, in your own spreadsheet:

Price = (estimated hours × loaded labor rate + materials + trip/overhead allocation) ÷ (1 − target margin)

Use AI only to help build the formulas, for example: “Write a spreadsheet formula for this calculation using columns B-F.” Compare the result with your historical median. If they’re far apart, figure out why.

Step 5: Load it into your software

Most field service platforms have a price book feature, so import your finished CSV. Add good-better-best options for common replacements.

Step 6: Review quarterly

Rerun the analysis each quarter, update material costs, and check whether techs are discounting a lot on specific tasks.

FAQ

Can AI tell me what to charge?

It can show what you've charged before. Your price has to come from your own costs, overhead, and margin target. Industry price lists may not match your market.

Is it safe to upload invoices to an AI tool?

Delete customer names, addresses, emails, and phone numbers first. Use a business plan with training turned off if available.

What's a loaded labor rate?

Your tech's hourly wage plus payroll taxes, benefits, workers' comp, and other employment costs. Your accountant can help you calculate it.
