How to set up an AI phone answering service that takes calls, triages emergencies, and books jobs without promising anything you can't deliver.

Last verified · For Plumbing, HVAC, Electrical, Roofing · 7 steps

The short answerAn AI answering service picks up calls you can't, collects the caller's name, address, and problem, answers basic questions from information you provide, and books or hands off the job. To set one up, pick a provider, load it with your services, service area, hours, and emergency rules, forward unanswered or after-hours calls to it, and review every call transcript for the first two weeks.
  • Time2-4 hours setup, plus 2 weeks of transcript review
  • CostVaries widely by provider and plan (flat monthly, per-minute, or per-call). Compare current pricing pages.
  • DifficultyModerate

You'll need: A business number with call forwarding, a written list of services and service area, your emergency policy, and access to your calendar or field service software

Step 1: Decide what the AI should and shouldn’t do

Write a one-page “job description” for the AI:

Should doShould NOT do
Greet, collect name, phone, address, problemQuote repair prices you haven’t approved
Ask your qualifying questions (e.g., “Is water actively leaking?”)Give safety or technical advice (e.g., gas, electrical)
Share hours, service area, trip/diagnostic feePromise arrival times you can’t keep
Book into open windows or hand off to on-callHandle complaints or billing disputes alone

Step 2: Shortlist providers

Look at providers built for home services and general AI receptionists. Examples include Rosie, Smith.ai (AI and live agents), Goodcall, and Avoca, plus AI features inside your field service software. affiliate link placeholder

Compare:

  • Pricing model: flat monthly, per minute, or per call, and overage charges
  • Integrations: does it book directly into Jobber, Housecall Pro, ServiceTitan, or your calendar?
  • Transfer: can it warm-transfer to your on-call tech’s cell?
  • Transcripts and recordings: can you read every call?
  • Trial: test with real calls before committing

Step 3: Write your knowledge sheet

The AI only knows what you tell it. Create one document with:

  • Services you do and don’t do (e.g., “We don’t do septic”)
  • Service area by city or ZIP
  • Hours, after-hours policy, and emergency definition
  • Fees you’re willing to state (trip, diagnostic, after-hours)
  • Common FAQs, like financing, brands serviced, and warranty
  • Escalation: who gets transferred, for what, and their number

Step 4: Configure call flow and forwarding

Common setups:

  1. Overflow: ring the office first, then forward to AI after X rings.
  2. After-hours: forward all calls to AI outside business hours.
  3. Always-on: AI answers first and transfers when needed.

Start with overflow plus after-hours. Set forwarding in your phone system, then call to confirm.

Step 5: Connect booking or handoff

If the integration exists, let it create a job or lead in your software. If not, have it send a summary by text or email to the dispatcher. Every call should end up somewhere a person will see it.

Step 6: Test with real scenarios

Call it yourself as:

  • A homeowner with a burst pipe at 11 pm
  • Someone asking “How much to replace a water heater?”
  • A caller outside your service area
  • A vendor or a spam call

Check that it handles each one the way your job description says.

Step 7: Review transcripts and tune

Read every transcript for two weeks. Fix wrong answers in the knowledge sheet, and add new FAQs as they come up. After that, spot-check weekly.

FAQ

Will customers know they're talking to AI?

Often, yes. Being upfront ('You've reached [Company]'s virtual assistant') avoids confusion. Some states have rules about disclosing automated or recorded calls, so check with your provider and attorney.

Can AI quote prices over the phone?

It can repeat prices you give it, like a diagnostic or trip fee. It shouldn't invent repair quotes. Have it collect details and say a person will confirm pricing.

Is call recording legal?

Recording-consent laws vary by state, and some (including California) require all parties to consent. Make sure your provider plays a recording notice where required.

AI receptionist or live answering service?

AI is usually cheaper per call and always on. Live services handle unusual calls better. Some providers offer both.
